Event photography checklist - what to do for the best event photos

Event photography is a separate genre. It requires a completely different solution than portrait photography, since there are many more characters in the story, and more circumstances need to be taken into account. Of course, the lion's share of the matter depends on the photographer, but the organizer of the event can do a lot to ensure that pictures are taken that both he and the client will be satisfied with.


Unfortunately, many people do not know that it is up to them to make sure the pictures are successful. They think that it is enough to call a photographer and he will know what to look for. This is really the first step, but with minimal preparations, we can get a much better result .


Step zero: choose a good specialist!


As mentioned, the first step is to call a professional photographer. Well, then the number one thing is that you take a good look at who the photographer is .

It is crucial that you choose a really competent person - unfortunately, this is often more difficult than it seems at first. As a layman, it is not necessarily easy to decide who is really good in his profession.


Well, the simplest and at the same time perhaps the best advice is not to fall for loud promises, rather believe your eyes! Take a look at the selected photographer's work , preferably not random pictures, but those made specifically on the subject of event photography , so that you can judge what you can expect. It is especially good if you can also receive recommendations on the basis of which you can choose your man; and that's the first step.


And one more thing: it's good if you don't start looking for a photographer two days before the event, because good photographers are typically booked several weeks in advance! As soon as you have the time, it is advisable to fix the photo shoot - if you sign up on time, you can definitely count on us!


Second step: give information!


It is important that you share with the photographer what you can know about the event in advance !


For me, as an event photographer, the kind of information I always need before a job:

- the exact date, location and duration of the event

- the nature of the event : e.g. team building, company party, protocol event, etc.?

- what time should I arrive at work?

- the scenario and important moments of the event

- the expected number of employees

- what is the delivery deadline ?

- Collaborating partners, overseas stands, do you need to photograph anything else that might be important?

- are special guests and key persons expected?

- will there be a person at the event who is not allowed to be photographed , for GDPR reasons

- is there any dress code ?


In addition, it is important how big the location is, what the lighting is like, etc. The equipment the photographer uses depends on these factors. The more information you provide, the more likely it is that he will have everything he needs for the perfect pictures. Different solutions are needed for smaller and larger spaces, different solutions are needed where the room is darker and where there is a lot of natural light.


It's also good to know in advance if events are taking place in parallel, or if there are people or moments that cannot be missed - here, a good schedule is key so that everything can fit in.


It is very unpleasant when the customer complains to the photographer afterwards that there is no picture of something that should have been taken, and that important people were left out. The photographer doesn't need to know these things himself, be sure to let him know in advance if there are any extra wishes! Tell them everything: where they will sit, when they will give a speech, so you can avoid the photographer missing important moments due to lack of information.


Mention your marketing goals as well, as this also helps to create images that will serve your goals well in the future.


Prepare separately if you need to take photos of your speech!


Lay people usually don't know, but if someone needs to be photographed during a speech , it's worth contacting the lighting technicians in advance so that the lights can be adjusted accordingly. Colored mood lights and high-brightness optics tend to clash: they also capture the glimmer of red-yellow-green incident lights that cannot be seen with the naked eye, resulting in colored dots on the head of the person you want to photograph - this is not very lucky if you want serious pictures.


Of course, you, as a customer, do not need to know this yourself. However, if you clarify the details in advance with the photographer, he will draw your attention to these details, thus helping to make the result as perfect as possible.
